MMS
Version 6 Upgrade Features |
Sunshine Support is proud to announce the
release of MMS version 6. We have added many new features requested
by MMS users over the past few years since version 5 was released
and most of these new features are shown below.
NEW FEATURES of MMS VERSION 6
- Enhanced Customer Search Fields – There
are new ways you can now search for a customer on the customer search
window: 1) Distributor number or distributor type without having to
select a specific vendor, 2) Customer callbacks word or phrase search
plus completed or not completed callback status, 3) Search customer
notes for a particular word or phrase, 4) New customer extra ID field
which could be a driver’s license number or anything you wish,
5) Customer sponsor search has been added.
- Customer Enhancements – 1) The length of
the customer notes field has been increased from 400 to 1500 characters.
2) Customer active checkbox added which when unchecked makes a customer
inactive and will not appear in any general customer searches or lookups
saving searching time without having to actually delete a customer
and their past records. 3) Default invoice message can be cleared
after previously being assigned. 4) Configuration option can be set
to whether to default new customers “Include In Labels”
flag to be checked on or off. 5) Vendor(s) can be set to automatically
be added to a customer’s vendor records when a new customer
is added to MMS, 6) Phone number added to customer backorder list
and backorder report, 7) Button added to customer view to copy bill
to address fields to the customer’s ship to address fields,
8) Addition of a customer extra ID field to store driver’s license
or any other type of data, 9) Addition of default carrier to customer
record which will be automatically selected when creating a new invoice
for that customer, 10) Addition of Print Balance Due checkbox on customer
record to allow selection of printing or not printing balance due
total on invoices.
- Customer Callback Enhancements – MMS now
allows you to create and save “stored callbacks”. The
text of these stored callbacks can be copied to a callback you are
assigning to a customer with just a selection for the stored callbacks
dropdown box on the callback tab of the customer view window. You
can then modify this text if needed before saving the callback record.
An example of such a stored callback would be “2 Week New Customer
Follow-up”. The length of each customer callback note has also
been increased from 400 to 1500 characters. A date range search has
been added to the customer callback notification window to only find
those callbacks that are due during a certain date range.
- Customer Visit Enhancement – When you add
a new visit record and enter a follow-up date, you have an option
to assign a stored callback along with a specific employee for this
customer. This avoids having to remember having to go to the customer
callback tab to enter the follow-up callback.
- Invoice Enhancements – 1) No longer do you
have to select how to add an item to the invoice by name, code or
barcode as version 6 automatically determines how to find the product
based on what you enter. 2) When setting a discount percentage on
an invoice, the discount can apply to the current item, all items,
or items that will be added to the invoice. 3) Retail price is added
to the product search popup window, 4) When on the line items tab
for a paid invoice, MMS says invoice has been paid and cannot be modified
before removing payment, 5) Configuration option added to select whether
or not you want customer/vendor volume totals to be displayed on the
invoicing window, 6) Configuration option added to select whether
or not product cost is displayed on the invoicing line detail to protect
price from customers who can see invoicing screen, 7) Configuration
option added to not display invoice print dialog box and send invoice
directly to MMS default printer, 8) Change due customer prints on
the invoice when invoice is printed before invoice window is closed,
9) Invoice search option of both Paid/Unpaid invoices has been added,
10) MMS shipping charge records can be configured and saved and selected
quickly during invoicing giving options for invoice shipping description,
amount, and carrier (delivery method), 11) Ability to open invoice
from customer payment and customer backorder window by double clicking
on the invoice number, 12) Configuration option can be set to be notified
if product added to invoice has a $0.00 selling price, 13) Net selling
price and percentage discount is displayed on each invoice line items
line, 14) Clipboard button added to shipping field to quickly clipboard
shipping information from invoice, 15) Export to NSP website shopping
cart directly from an invoice makes it easy to drop ship NSP products
for a customer ordering through you.
- Payment Enhancements – 1) Configuration
option added to have a reminder displayed if you use ECHO to transmit
credit card payments through MMS and the user of MMS attempts to save
a payment that has not yet been transmitted. 2) List of invoices paid
by a payment will also print when you are printing a payment receipt
with option to print to full size printer or optional receipt printer.
- Product Enhancements – 1) Manufacturer can
be cleared after previously being assigned, 2) Product label flag
has been added which when unchecked will cause that product to not
be included whenever bottle labels are printed out, 3) Product weight
field has been added to secondary vendor product records in case weight
varies from vendor to vendor, 4) A flag called “Count on Invoice”
has been added and, if unchecked, product will not be counted on invoice
total items count, 5) A product invoice discount override field has
been added to product record to allow setting of specific discount
on individual products. If invoice or customer also has a discount
set, the largest discount will be used, 6) Optional bin/location field
has been added to product record to record location of item, 7) Product
code length can now be up to 15 characters.
- Enhanced Product Search Fields – You can
now search for products by a word or phrase in the product notes field.
- Employee Timecard Enhancement – You can now
restrict employees without sufficient rights from changing timecard
entries.
- Employee Commission Enhancement – Commissions
for each product can be set the same to all employees or each employee
can be set to a different percentage on the same product
- Vendor Enhancements – 1) You can select that
a specific cost type not be displayed or editable for a specific vendor,
2) Vendor name, address, contact information, and notes can be printed
directly from the vendor window.
- Category Enhanced Product Tax Rates – For
those MMS users in areas where one customer may be charged one tax
rate on a product and another customer a different tax rate on the
same product (i.e. tax rates based on customer location), we have
completed a solution to allow you to create what are called tax categories.
You can assign a customer to a specific tax category and enter different
tax rates for different categories and optionally assign products
to specific tax categories. More detailed information will be included
with the version 6 instructions for those customers needing this more
complicated sales tax calculation and tracking.
- Report Modifications – 1) On the Statement
of Account, Receipts by Payment Type, and Invoice Summary reports,
the time the report was created will now print out on it, 2) Credit
card numbers are now masked on the Statement of Account report, 3)
Sales Summary Report will include whether it was created in cash or
accrual basis, 4) Distributor type added to customer cross reference
report, 5) Invoice date sort option added to Inventory Sales Report,
6) Employees can be granted access to all reports, no reports, or
specific reports you select, 7) Reorder preview report can now be
exported to Excel and other supported export file types, 8) Inventory
sales report has had profit column added with options to sort by Total
Profit or Item Profit, 9) All reports can be exported to the latest
Excel version 8 (97 and later including Excel for XP), 10) Product
Reorder Recap report has option to only see reorders that contain
specified product(s).
- Support for a Cordless Remote Barcode Batch Scanner –
A barcode batch scanner is designed for taking inventory with a cordless
barcode scanner which has a memory capability. After scanning all
or a subset of your inventory using the barcode driven menu software,
you connect it to your computer, open the MMS Batch Barcode window,
and transfer the scanned information into MMS. MMS then will display
a list of those items you scanned with a comparison of the QOH you
scanned vs. what MMS has in its records. You can then correct and
modify this list before updating your MMS QOH values with the push
of a button. This feature does of course require the purchase of a
batch barcode scanner which is $749 plus shipping. This scanner may
sound expensive but for those stores with a lot of inventory, it will
pay for itself in time saved when doing an inventory. Note that this
scanner cannot be used for checkout during MMS invoicing. Email or

- Additional Enhancements – 1) MMS can be configured
to allow more windows open at once up to a maximum of 12. Windows
98 and ME users are still advised not to exceed more than 7 open windows
at once.
